Project Coordinator

Leeds – Permanent

Construction/Rail Experience Essential

The Project Coordinator will be responsible for providing support to the rail construction project team. They will work closely with the project manager, engineers, contractors, and other stakeholders to ensure that project documentation is accurately maintained, project schedules are updated, and project communications are effectively managed.

Duties include:

  • Providing support to the rail construction project team, including scheduling meetings, preparing agendas, taking meeting minutes, and distributing project updates.
  • Manage and maintain project documentation.
  • Coordinate project logistics, including travel arrangements, accommodation, PPE, and equipment hires.
  • Organise project events, such as site visits and project team meetings.
  • Prepare and maintain project dashboards and status reports.
  • Liaising with IMS compliance manager and assist with updating documents and providing auditing support of project folders and documentation.
  • Sourcing and booking training on training matrix in conjunction with IMS compliance manager.
  • Responsible for maintaining compliance of the Sentinel system and the issue and completion of all starter packs.
  • Carrying out Sentinel administration duties. Ref Sentinel Rules including Primary Sponsoring, Sub-sponsoring and removing sponsorship as per individual request/s.
  • Ensuring signed contracts for sponsorship are retained for every sponsored person.
  • Arranging D&A tests and medicals as required with RISQS accredited organisation.
  • All current staff training tickets should be captured on the training matrix.
  • Reviewing the Sentinel & non sentinel database on a weekly basis to identify forthcoming expiries. Issue monthly report to divisional managers and directors with due competencies to be approved.
  • Arranging initial training and re-certifications, as directed by Training Manager/ Directors.
  • Ensuring Sentinel certifications and re-certifications are carried out by RISQS accredited organisations.
  • Ensure replacement cards are signed for, and accounts notified immediately when cards have been lost.
